We are currently seeking qualified candidates for an Administrative Assistant -Leadership Institute position that will be based in our Leadership Development department. This position is based at our corporate office in Altamonte Springs, FL.

This position provides the opportunity to be responsible for managing and scheduling the activities of the Institute. These activities include but are not limited to the following: will communicate with faculty and workshop participants, make hotel and transportation arrangements, manage the Director’s calendar, assist in the preparation of workshop materials and will manage the ordering and inventorying of all supplies.

Specific job duties include:

  • Manages the calendar for Institute Leader(s) / Faculty, schedules meetings and appointments, and coordinates travel arrangements including lodging, air/land, transportation, event registration, etc.

  • Answers/screens incoming calls, takes messages and routes calls as appropriate. Greets and assists visitors. Professionally represents Leader(s) and Adventist Health System in all communications as requested at meetings, events, etc.

  • Coordinates all Institute offerings ensuing an exceptional experience for all program participants

  • Reviews supplies and maintains the department’s office supply needs including textbooks, course materials, etc.

  • Assists in developing Institute materials including PowerPoint presentations, syllabus preparation, incoming and outgoing correspondence, etc.

  • Supports faculty administratively with special requests including presentations and project preparation, event planning and other miscellaneous duties.

  • Manages communication / IT needs for various meetings and classes

Experience Requirements:

  • Five-years minimum experience as an administrative or executive assistant, secretary, or other higher level administrative/office support role

  • Minimum 3 years’ event planning/coordination experience

Educational Requirements:

  • Four-year college degree
